You finish a meeting that sounded fine, open the recording the next day, and wince. One person is booming, another is barely audible, there is a gap where somebody’s sentence should be, and your own voice sounds strange. The recording is not faulty. It is a faithful copy of what reached the Teams service, played back under conditions very different from the live call, and heard by someone who is now listening far more critically than they did in the moment.
The recording hears the meeting from the cloud
A Teams recording is made by the service, not by your computer. It captures the audio streams as they arrived from each participant and mixes them into one file. That has a consequence people rarely consider: whatever was lost on the way from a speaker to the service is lost for good.
During the live call, your app worked hard to hide network trouble. It buffered, smoothed over tiny gaps and adjusted constantly, and your brain filled in the rest from context. In the recording, a moment of packet loss on a colleague’s home connection becomes a permanent hole or a burst of garbled sound.
The recording also contains audio after each person’s noise suppression and echo cancellation have done their work. When those systems were struggling, for example with a loud room or a speakerphone, the clipped word endings and watery artifacts they created are baked in.
You are listening differently now
Live conversation is forgiving because you are busy. You are thinking about your reply, watching faces and reading slides. Played back, the same audio gets your full attention, and flaws that slipped past become obvious.
Level differences are the clearest example. In a live call you unconsciously lean in for a quiet speaker and tolerate a loud one. On playback, with the volume set once, the contrast between someone close to a good microphone and someone far from a laptop feels jarring. The recording did not create the imbalance. It just stopped you compensating for it. Then there is your own voice. You never hear yourself in a live call, and the voice you know from inside your own head is shaped by vibration through bone as well as sound through air. A recording delivers only the airborne part, which is what everyone else has always heard. It sounds thinner and unfamiliar to nearly everybody, and it says nothing about your microphone.
Compression and the final file
Meeting audio is encoded for efficient, real-time speech, not for studio fidelity. The recording is then processed into a video file intended to be streamed and stored at a reasonable size, typically in OneDrive or SharePoint. Speech survives this well. Music, video clips played through screen sharing and anything with wide dynamic range survive it less well. If someone shared a video without enabling the option to include computer sound, the recording will contain whatever their microphone picked up from their speakers, which is as bad as it sounds.
Getting a better recording next time
Since the file mirrors what each person sent, improving a recording means improving each contribution at its source. The essentials are few.
- Ask main speakers to use a headset or a close microphone, and to make a Teams test call beforehand.
- Put anyone presenting on a wired or strong wireless connection, and turn off unneeded video if a link is weak.
- Keep noise suppression on for speech, and fix loud rooms physically where possible.
- Avoid two devices in one room joining with live audio, which records as echo.
- When sharing media, switch on the option to include computer sound.
For sessions that will be reused, such as training or an all-hands, run a two-minute trial recording with the real speakers the day before. That leaves time to swap a headset or change rooms.
For content you intend to publish, do not rely on the meeting recording alone. Ask the key speaker to capture their own microphone locally with any simple recording app at the same time. A local capture never crossed the network, so it has no dropouts, and it can be laid under the video afterward. Get consent from participants before recording by any method, and follow your organization’s policy on storage.
Judging the file fairly
A meeting recording is a record, not a production. Its job is to let someone who was absent follow what was said and decided, and ordinary flaws do not stop it doing that. Judge it by whether every speaker is intelligible from start to finish. If that test fails, the cause was present in the live meeting too, and the fix belongs at the speaker’s desk, not in the recording settings.
